What it has returned so far

What Goes Wrong
Four problems we get called in to fix
The 5,000-item view threshold
A library can hold 30 million files, but no single query can scan more than 5,000 of them — a ceiling Microsoft does not let you raise. Everything looks fine until the day somebody filters by client name and gets an error instead of a list. The fix is design work done in advance, and it gets harder with time: SharePoint stops correcting for this automatically once a library passes 20,000 items.
The 400-character path limit
Full URL paths are capped at 400 characters and file names at 255. Deep folder nesting inherited from a file server is the single most common cause of files that will not sync or open. Metadata and flat libraries fix it; more folders make it worse.
Flows owned by a personal account
A workflow built inside a staff member’s own account stops the day that account is disabled — and nobody finds out until an invoice has sat unapproved for a week. Automation belongs to the business, in a managed environment with named co-owners.
Per-file sharing instead of permission groups
Sharing individual files with individual people feels fast and becomes unauditable within months. Matter-level and project-level security done with groups is the only version that survives an audit or a departure.

No, and that is the whole point. The metadata is applied at the moment the matter is created and is inherited by every document filed into it. Systems that rely on people tagging documents correctly fail within months, because the one time it gets skipped is always the busy week that matters most. Ours never asks. That is also why the reporting works: when the data is complete by default, you can ask how many active files a practice area has and trust the number.
For the core build, no. SharePoint, Outlook, Teams, Approvals, Forms, and Planner are standard connectors included with Microsoft 365 Business Standard and Business Premium. Some optional extras do carry additional cost, and we flag them before you commit: automatically populating Word templates uses the premium Word Online (Business) connector, DocuSign and Adobe Sign connectors are premium, auto-applying retention and sensitivity labels by policy requires Microsoft 365 E5 or a Purview add-on, and AI-based document classification requires SharePoint Premium licensing. Many clients do both as a single project, which is the better sequence: the automation requirements shape the target architecture instead of being retrofitted onto a structure that cannot support them.
No, and we would not recommend trying. SharePoint automation handles documents, folders, metadata, approvals, and deadlines. Your practice management, accounting, or ERP system remains the system of record for time, billing, and financials. Where that system exposes a supported API or Power Automate connector, we can trigger the SharePoint workflow directly from it so the matter is opened once. Where it does not, intake starts from a form and the two systems stay deliberately separate rather than fragile.
