What is SharePoint Setup & Automation?
Getting your files into SharePoint Online is the easy part. Making SharePoint the system your team actually works in — where a new client, matter, project, or job opens itself, files itself, and names itself correctly — is where most Calgary businesses stall.
AltaCom designs the SharePoint information architecture first, then automates the repetitive work on top of it with Power Automate. A law firm opening a new matter fills in one intake form: the conflict check routes for approval, the matter number is generated, the document set is created with the firm's standard folders, and every metadata field — client, matter number, practice area, responsible lawyer — is applied to every document filed inside it. Nobody types metadata. Nobody invents a folder name.
Every law firm we have built this for gets back 20 to 40 hours of administrative time a month — the folder-building, the metadata typing, the chasing, and the numbering that nobody was ever supposed to be doing by hand.
The same machinery runs year-end engagement folders for accounting firms, RFI and submittal logs for construction, well file packages for oil and gas, and contract and certificate expiry reminders for everyone else. Every workflow we build uses standard Power Automate connectors included in your Microsoft 365 licence, and every flow is owned by your organisation — not by the staff member who happened to build it.
If your files are still on a file server, Google Drive, or Dropbox, start with a SharePoint migration and we will design the automation into the target architecture rather than bolting it on afterwards.

What's Included in Our SharePoint Setup & Automation Package
Automated Client & Matter Intake
One form opens the file. Conflict check routes for approval, the matter number is generated from a controlled sequence, and nothing is provisioned until the approval lands.
Document Sets Built Automatically
Every matter, project, or engagement gets the same folder structure and starter documents — created by the flow, so no two files are organised differently.
Metadata Applied Without Typing
Client, matter number, practice area, responsible lawyer, and status are inherited by every document filed into the set. Search and filtering actually work.
Approval & Review Workflows
Conflict checks, invoice approvals, engagement letter sign-off, and policy acknowledgement — routed in Teams and Outlook with a full audit trail.
Deadline & Expiry Reminders
Limitation dates, contract renewals, insurance certificates, and safety tickets. Scheduled flows chase the owner at 60, 30, and 7 days instead of nobody noticing.
Closure, Archiving & Retention
When a matter closes, the flow applies the retention label, moves it to the archive library, and drops permissions to read-only. Closure stops depending on memory.
Common questions about SharePoint Setup & Automation in Edmonton, Alberta
SharePoint Setup & Automation FAQs for Edmonton Businesses
No, and that is the whole point. The metadata is applied at the moment the matter is created and is inherited by every document filed into it. Systems that rely on people tagging documents correctly fail within months, because the one time it gets skipped is always the busy week that matters most. Ours never asks. That is also why the reporting works: when the data is complete by default, you can ask how many active files a practice area has and trust the number.
For the core build, no. SharePoint, Outlook, Teams, Approvals, Forms, and Planner are standard connectors included with Microsoft 365 Business Standard and Business Premium. Some optional extras do carry additional cost, and we flag them before you commit: automatically populating Word templates uses the premium Word Online (Business) connector, DocuSign and Adobe Sign connectors are premium, auto-applying retention and sensitivity labels by policy requires Microsoft 365 E5 or a Purview add-on, and AI-based document classification requires SharePoint Premium licensing. In most cases there is a no-cost alternative — for example, a Word template using Quick Parts bound to your library columns fills itself in with no flow and no premium connector at all.
Migration moves your data into SharePoint Online with permissions and structure intact. Setup and automation is what happens next — designing the libraries, content types, and metadata your business actually runs on, and then automating the repetitive work with Power Automate. Many clients do both as a single project, which is the better sequence: the automation requirements shape the target architecture instead of being retrofitted onto a structure that cannot support them.
No, and we would not recommend trying. SharePoint automation handles documents, folders, metadata, approvals, and deadlines. Your practice management, accounting, or ERP system remains the system of record for time, billing, and financials. Where that system exposes a supported API or Power Automate connector, we can trigger the SharePoint workflow directly from it so the matter is opened once. Where it does not, intake starts from a form and the two systems stay deliberately separate rather than fragile.
This is the single most common problem we get called in to fix. Flows built inside a staff member's personal account stop running the day that account is disabled, and nobody finds out until an invoice sits unapproved for a week. AltaCom builds in a managed Power Platform environment with solution-aware flows owned by a service account, documented connections, and named co-owners. Your business owns the automation, not an individual.
Almost never. We start with an audit of your existing sites, libraries, permissions, and content types, then remediate the parts that block automation — most often unindexed libraries hitting the 5,000-item view threshold, file paths approaching the 400-character URL limit, and per-file sharing that should be group-based permissions. Restructuring what exists is usually faster and far less disruptive than rebuilding, and your team keeps working throughout.
